When is an employee rewarded?

Payment of additional remuneration is an internal matter of each employer. The organization has the right to independently determine the frequency, reasons and amounts of bonus payments to employees. Common reasons for bonuses are:

  • significant dates for an employee or the entire company: birthday, organization anniversary, professional holiday;
  • all-Russian holidays, for example New Year, March 8;
  • merits in work: an employee is encouraged, for example, if he exceeded the production standard, achieved production optimization, reduced defect rates, initiated transformations useful for production, and reduced production costs without loss of quality.

Rewards can be regular (monthly, quarterly, annual) or one-time. It is permissible to award bonuses to only one or several employees at the same time.

How to draw up an order for the payment of bonuses at the end of the month using the T-11 form

All orders for the payment of bonuses are very similar to each other. Only the periods for which bonuses are paid and the grounds for payment change. Otherwise, no differences are observed.

The contents of the order in form T-11 can be divided into three parts.

The first part reflects:

  1. Information about the company (name, location address);
  2. Serial number of the document;
  3. Date of issue of the order;
  4. Document's name.

The second part states:

  1. Employee number according to the time sheet.
  2. Last name, first name, patronymic of the employee.
  3. Basis for payment of bonuses at the end of the month.
  4. Type of payment (in this case, bonus).
  5. Payment amount.
  6. A link to the Bonus Regulations or other document on the basis of which the payment is made (if any).

In the third and final part:

  1. The head of the organization signs.
  2. The position of the manager is indicated (general director, director, etc.).
  3. A transcript of the signature is provided;
  4. The employee signs that he has read the order and sets the date of familiarization.

Since the use of the T-11 form is not mandatory, any data can be changed at your discretion. The main thing is to make it clear to whom, for what, in what amount, and for what merits the bonus is paid.

How is the award issued?

The procedure for bonuses is established by an internal act of the organization - the regulations on bonuses. It establishes cases and indicators upon achievement of which employees are entitled to incentive payments. The regulations also prescribe the need for a monthly incentive supplement, often set as a percentage of the salary.

The presence of a provision on bonuses is especially important for budgetary organizations that pay additional remunerations from the wage fund allocated from the budget. Regulations on bonuses for budgetary institutions are developed on the basis of departmental acts of the system in which the institution is located.

For the payment of each individual remuneration, a special order on bonuses is issued.

We draw up an order for bonuses for employees

The bonus is awarded to employees on the basis of an order or instruction issued by the head of the organization.

Such an order is drawn up in any form. It is convenient to use unified forms No. T-11 “Order (instruction) on rewarding an employee” or No. T-11a “Order (instruction) on encouraging employees” as an order form.

The order must indicate the basis for the bonus. It is also advisable to provide links to the Regulations on Remuneration or Regulations on Bonuses. This will help further protect the amounts of bonuses paid that are of a production nature from claims of inspectors when such bonuses are included in the “profitable” expenses of the organization.

Is it possible to indicate in the bonus order the already dismissed employees of the organization if they are entitled to a bonus for the period of time worked? According to the Ministry of Labor, it is impossible (Letter of the Ministry of Labor dated March 14, 2018 No. 14-1/OOG-1874). We talked about this in more detail in our consultation.

Which form to use for the order?

Resolution of the State Statistics Committee of the Russian Federation dated January 5, 2004 No. 1 approved unified forms for many internal acts necessary in the economic work of an organization. Among them are forms No. T-11 and T-11a for awarding bonuses to employees.

Since 2013, these forms have ceased to be mandatory. The organization has the right not to use the proposed forms, but to issue acts on additional incentives in free form or develop its own templates.

Regulations on bonuses

The features of the procedure can be reflected in the following documents:

  1. Regulations on bonuses.
  2. Individual and collective labor contracts.
  3. Relevant local acts.

At the same time, the contracts do not need to spell out in detail the entire procedure, which itself should take up several printed pages, but only refer to a document that contains the relevant information. At the same time, it is important to familiarize each employee with the Regulations on bonuses against signature .

How to write an order correctly

A sample order for a bonus for good work or any other achievements should contain the following information:

  • name of the organization in which it was published;
  • details: number and date;
  • FULL NAME. the employee or employees receiving bonuses, their personnel numbers, positions and structural units;
  • incentive motive - the reason why the bonus is paid;
  • type of incentive: you must indicate “bonus”;
  • incentive amount: in words and numbers;
  • basis, for example, a memo from the boss of the employee receiving the bonus;
  • position and signature of the head of the organization.

If a material reward is issued in connection with success at work, the wording of the incentive motive in the bonus order may be as follows:

  • for significant indicators of the intensity of work activity;
  • for a high level of quality of work;
  • for achieving planned targets.

The employer has the right to use any form or develop an independent design option . The main thing is to correctly reflect the transaction in accounting documents and other financial papers. The main requirement for content is to whom the bonus is awarded, in what exact amount and on what basis. Usually the order also reflects the name and position of the person who is responsible for its implementation.

An example of a bonus order (in the case of payment to two employees) could be like this.

Thus, the document includes:

  1. Title - a header with the usual information: full name of the company, number, date and name of the order.
  2. The main part, which lists the persons awarded the bonus (full name, position, personnel number), the basis for the issuance and the amount of the amount. In this case, the size can be indicated either in numbers or as a percentage (for example, 10% of the salary). It is also stated here on the recommendation of which employee the bonus is awarded if there was a business recommendation.
  3. Signature of the manager, date and annex with the signatures of all awarded employees confirming the fact of their familiarization with the award.

Monthly bonus order

In addition to one-time incentives, the employer has the right to issue orders for periodic bonuses. With this document, he indicates a certain frequency of payment, for example, stipulate that additional remunerations are paid along with wages monthly in the amount of a certain percentage of wages.

You can draw up an order for incentives either using a unified form or using a self-developed one.

There are two unified forms of order:

  • T-11 - if one employee is encouraged;
  • T-11a - when there are several encouraged employees.

Unified forms of orders for incentives in form T-11 and T-11a were approved by Resolution of the State Statistics Committee of the Russian Federation dated January 5, 2004 No. 1.

If you decide to develop your own incentive order form, you must indicate:

  • name of the organization (or full name of the individual entrepreneur);
  • document's name;
  • order details;
  • Full names of encouraged employees and their positions;
  • the basis for assigning incentives;
  • type of incentive;
  • Full name, initials and signature of the person who approved the document.

The procedure for the bonus procedure

This procedure, like any other process related to material incentives for personnel, has a clear algorithm and set of rules. In particular, the manager must publish a corresponding order, on the basis of which the accountant will be able to accrue the amount recorded in the paper to a specific employee. However, one-time orders are relevant only for those enterprises that provide bonus payments to staff on a non-permanent basis. Otherwise, the director must take care of detailed regulation of the process in local regulations.

In the case of a one-time payment, the corresponding order must contain the following details:


  • full name of the institution that provides the payment. It is also appropriate to draw up such a document on the company’s letterhead;

  • name of the paper. The word “Order” should be located in the center of the sheet; below it is appropriate to specify the document by making a note: “on the provision of a bonus,” but this is not necessary;
  • place of drawing up the order and the corresponding date;
  • main text. It must contain the wording of the motive for encouraging specific employees, or only one employee, or indicate a structural unit;
  • also in the main text it is necessary to indicate the person (often a representative of the accounting department) who will be responsible for the execution of the order;
  • at the end of the document, the director must put his signature opposite its transcript.

After the order is published, the bonus may actually be received by employees on the next payday or earlier, if this is appropriate in specific circumstances (for example, a bonus intended for March 8 may be issued earlier than the final salary and advance payment).
