A hiring order is drawn up by an organization when it hires a new employee. There are standard order forms - form T-1 and T-1a. The first is convenient to use when hiring one employee, the second when hiring several employees.

The order is filled out based on the employee’s application, a sample of which can be downloaded here, as well as an employment contract concluded at the initial stage of employment.

It is not necessary to use standard forms; you can develop your own order form, not forgetting to include all the necessary details typical for administrative documents.

As a rule, a representative of the personnel service is responsible for filling out the order form, as well as formalizing the hiring of an employee.

Order for employment (Form T-1). Sample filling

At the top of the form is written the name of the organization in which the employee is employed. The order form is assigned an individual and unique number, and the date of registration is written.

In the “hire” line, you must indicate the date from which the employee begins to perform the job duties assigned to him - the first working day.

In the “to” line, the end date of work is filled in if the employee has a fixed-term employment contract for a certain period.

Below is written the full name of the person being accepted into the staff.

Each employee is assigned an individual number, called a personnel number, this number is retained by the employee throughout his entire career with this employer. This number is written in the corresponding field on the T-1 order form.

Below is written the name of the structural unit (department) into which the new employee is being hired, as well as the position.

In the line below you must indicate the nature of the work and the conditions of employment.

Next, the tariff rate for this employee or salary, allowances (depending on the applied remuneration system) is indicated.

If the conditions of employment require a probationary period, then its duration must be entered in the field specially designated for this.

The basis for drawing up the order is an employment contract - its number and date are indicated.

The order completed in this way is signed by the head of the organization and given to the employee for review.

The latter checks the correctness of the information specified in the form and signs the document, setting the date of signing.

The executed and signed order is stored at the enterprise and serves as the basis for filling out a personal card for the employee in the T-2 form, a personal file, if necessary, and a personal account in the T-54 form.

How to fill out a job application

Features of filling out the T-1 form

  • The name of the employer is filled in according to the constituent documents, reflecting the codes.
  • In some cases, the date of conclusion of the order may be earlier (for example, when admitted to work before the conclusion of an employment contract).
  • If a permanent employment contract is concluded, the order does not indicate the expiration date of the contract (the corresponding column is not filled in).
  • Data about the position and department are entered in accordance with the staffing table.
  • The conditions of employment, its nature, information on the amount of salary are indicated in accordance with the employment contract.
  • Data on the probationary period and its duration are indicated only if this is provided for in the employment contract.
  • If the order is not signed personally by the manager, the official who signed it must provide a link to the document confirming the authority to sign the order.

Note

: an order for hiring the head of an organization cannot be signed by a deputy head if this is not reflected in the statutory documents.

Registration of an order for employment in a journal

The employer is obliged to organize the recording of these documents. For this purpose, the employer, by its local regulations, can appoint a responsible employee for maintaining this journal. It can be:

  • personnel officer;
  • accountant;
  • Office Manager;
  • any other person at the employer’s discretion, but, as a rule, from among those responsible for documenting the hiring and dismissal of employees.

The journal form must include the following required fields:

  • date of publication of the normative act;
  • his number;
  • registration date.

An inventory is sometimes used as a journal, which can be placed in the nomenclature folder for storing regulations on the hiring of employees, and the presence of the fields indicated above is mandatory.

With the beginning of a new calendar year, numbering in the journal must be started anew, and existing information cannot be deleted; it must be stored for 75 years, in accordance with subparagraph “b” of paragraph 258 of the List approved by Order of the Ministry of Culture dated August 25, 2010 No. 558. These deadlines must be maintained. , even if you made an order to hire part-time work at 0.5 rates.

Hiring: contents of the order

For an order for employment, a sample of filling out the document should be available in each personnel department. And although the Labor Code of the Russian Federation does not directly regulate the forms and samples of internal personnel document flow, and the unified form of the order is not strictly mandatory, the content of the order is stipulated by the administrative documents of the Ministry of Labor.

In order for an order (instruction) on hiring an employee to be accepted by the accounting department for further work, it must contain:

  • employee identification data – full name, tax identification number;
  • position (name according to the staff list, OKVED code), rank, category, class;
  • subdivision
  • work period
  • for permanent employees - only the date of acceptance, for employees under a fixed-term employment contract - the date of acceptance and the end date of the contract;
  • salary or tariff rate,
  • types and amounts of allowances
  • information about the employment contract (if provided).

In addition to this data, for persons whose work involves financial responsibility, the order to take up a position must contain the wording “accept for position (name) with full financial responsibility.” A copy of the agreement on liability, as well as an extract from the order, is filed in the official’s personal file.

Sample order for hiring in form T-1

The document is drawn up by a specialist from the organization’s personnel service, or another official whose job functions include this responsibility. Individual entrepreneurs (IP) have the right to draw up administrative documents independently, if the state does not provide a special unit.

Let's look at a sample of filling out an employment order using the T-1 form. When drawing up orders, the imperative mood and the impersonal form of the order are used. That is, it is unacceptable to use the pronouns or surnames of the official composing it in the order.


Name of company.

Instead of the surname and initials of the manager or personnel employee drawing up the order, the name of the organization is used.

It is given in the form in which it was registered as a founder, in its entirety.

Only generally recognized abbreviations are allowed, such as: LLC, OJSC, NPO, etc. Such definitions as “Budget institution”, etc. are entered in full.

In this case, the authority of the order is not limited to the period of work of the manager or personnel employee, but extends to the entire period of the company’s activities. If a company acquires a new legal framework, the old documentation does not lose legal force.

REFERENCE: If information about the organization is entered on the standard letterhead of the order, there is no need to duplicate it.

Job title. The position for which the applicant is accepted must comply with the previously accepted staffing table, as well as:

  • entries in the work book, which is filled out on the basis of this order;
  • application submitted to the employer by the applicant for the position.


Subdivision.

Here it is necessary to indicate the department in which the applicant is expected to work.

For example: “workshop”, “preschool department”, “underwear department”, etc.

Date of termination of the employment contract. If the contract is fixed-term and is drawn up to replace the main employee, the exact date of dismissal is indicated, coinciding with the date of departure of the main employee.

In other cases, it is advisable to rely on the circumstances surrounding the person’s employment. For example: “accept for maternity leave”, etc.

ATTENTION: It is illegal to hire a key employee under a fixed-term contract unless there are circumstances requiring a limitation on the duration of employment.

FULL NAME. employee. This information must be entered in full, without abbreviation by initials. They are entered in the singular genitive case. You need to check that this information matches:

  • with passport data;
  • with a work book;
  • with educational documents.

If the last name (or other name) is different, you must submit a document certifying the change of last name (or other name). For example, a marriage certificate when the surname changed.


Individual employee number.

This number is also called personnel number. It is assigned to each employee upon hiring. It can be found in the Personnel Number Register.

When assigning the next number, the surname and initials of the person to whom it was assigned are entered, as well as the number of the employment order. This number is entered in the field specially allocated for it.

Conditions and procedure of the probationary period. If an employed person is assigned a probationary period, this must be reflected in the order. In this case, the following information is also required:

  • probationary period;
  • date of transfer to main job;
  • other circumstances of transfer to a permanent position.

Conditions of employment in the order. The corresponding field indicates on what basis the specified person is accepted into the position:

  • on a permanent basis, on staff;
  • at the same time;
  • with hourly payment;
  • for a certain limited period.

If a probationary period is provided, this circumstance is also indicated in the document.


Conditions of employment and nature of the work - what to write in the order?

The conditions for employment primarily depend on the amount of work provided for the corresponding staffing unit, on the ability of the employed person to work for a proportionate amount of time.

It also takes into account the proportionate period during which the position remained vacant.

IMPORTANT: Conditions of employment must not contradict labor law standards, as well as local documentation regulating labor standards in a given production (company).

Nature of work. It is entered on the same line where the conditions of employment are indicated. The need to introduce them arises when there are specific nuances. For example, in shifts, on irregular working hours, etc.

Salary. Is it possible not to indicate the salary in the employment order? Indication of salary is a mandatory item. The information entered here depends on how wages will be calculated. If payment is made on the basis of the current and approved salary, a proportionate amount is paid, with the explanation “with salary.”

If accruals are made based on one hour of work, the amount is entered, with the explanation “with the tariff rate”. These annotations allow selected information to be underlined on the specified line.


Basis for compilation.

The employment contract concluded with the employee is used as the basis.

In other cases, a statement from the applicant is allowed.

Executive visa. The order for hiring an employee in the T-1 form comes from the manager, and therefore is endorsed by him. Another official replacing the manager has the right to certify an order only if:

  • that he has been officially granted (by order) this right;
  • that this is part of his functional responsibilities.

Date of. The document indicates the date of return to work, which must correspond to:

  • the actual first working day;
  • the day of hiring in the employment contract, application and work book.

Can a job order come before the start date? The date of issue of the order, as well as other documents, may not coincide with the first working day. It is allowed to issue an order for employment earlier, but not later than the first working day.

REFERENCE: Later (no more than 5 days) only an entry can be made in the work book.

Number. Each order is assigned a serial number. It is assigned by the person drawing up the document based on the number of the previous order by adding one to it.


How many copies of the employment order are required?

The designated document is always prepared in one copy. In order to add it to the employee’s personal file, you need to issue an extract from the order.

Based on this document, the required information is included in the personnel documentation, including in the personal card filled out in the T-2 form and in the documentation for registering a personal account in the T-54 form.

After drawing up an employment contract and work book, this information will not be required. If necessary, an additional extract is made from the order and submitted at the place of request.

Is it necessary to familiarize the employee with the order? The employer's order for employment is announced to the employee against signature. He places it with his own hand in the presence of a personnel employee or individual entrepreneur. The absence of this signature allows the document to be declared invalid. How to write a job application: sample 2020

In most cases, business entities try to use unified forms to formalize the hiring of employees. In addition, there is a T-1a form, which allows you to issue an order to hire several employees at once. The structure of this order is a table.


The employer can use orders prepared on company letterhead, where their content is reflected in free form. The main requirement in this case is that the order contains the mandatory details required by law.

The name of the business entity must appear at the top of this order. This may be the name of the organization or a full indication of the entrepreneur’s personal data. Below is the registration code assigned to the subject by Rosstat (OKPO).

Next, indicate the registration number of the document. It may have continuous numbering, which applies to the enterprise as a whole. Or, a nomenclature specifically provided for these purposes may apply to personnel. In the latter case, the number may contain a specific letter.

The personnel officer must enter the assigned number for the order in the appropriate register - the order book. This document will be identified under it for the entire validity period.

Further, the order indicates the date from which the new employee is accepted into the company.


An employment agreement with an employee can be concluded for a specific period (for example, seasonal work). In this case, the date of dismissal is immediately indicated in the order.

In addition, if the signed employment agreement was urgent, then changes must be made to the order form - a column must be provided where it will be indicated in detail under what conditions the employment contract will automatically be considered terminated.

Attention: it is possible that the date on which the hiring order was issued will not coincide with the day from which the new employee must begin performing his duties. You just need to follow the rule - this date cannot be earlier than the day on which the employee signed an employment agreement with the employer.

Further, the order reflects data about the new employee - his full name, assigned personnel number, job title and department to which he will be assigned.

Data is entered in the line “Conditions of employment” in a situation where the work environment in which the employee will find himself differs from those generally established in the organization.

These include, for example, performing duties on a part-time basis, part-time and similar features. If the working conditions do not differ from the conditions of other employees, then there is no need to fill out this line.


In the following columns, which are located on the form, you need to enter data on the established salary, as well as possible bonuses for labor. The latter are indicated in the document only in the situation where they are specified in the employment agreement.

Next, enter information about the assignment of the test to the employee. Here it is necessary to remember that the law establishes several categories of citizens for whom testing is prohibited. In addition, information about the test must be written down in the employment contract - otherwise this line will be considered invalid.


The next line indicates the details of the employment agreement concluded between the parties - its date and number.

The executed order must be signed by the head of the company or individual entrepreneur. Next, the form must be given to the new employee himself, who must read its contents and sign that he has read it.

WE COMPLETE AN EXTRACT FROM THE ORDER ON EMPLOYMENT

If the order to hire an employee is issued not in form No. T-1, but in form No. T-1a (tabular, for several employees), and the court requires information on one of the employees specified in the order, then an extract is prepared in the same way in the same way as an extract from the work record book.

As you know, an extract from an employment order must retain almost all the details from the main order.

An extract from the hiring order must contain: the name of the organization, the registration number of the original hiring order, the date of the hiring order, the surname and initials of the manager who signed the order.

changes : instead of “Order” there will be “Extract from the order” (located in the center of the sheet). The administrative part indicates only those items that relate to a specific employee. The employee's personal signature is not indicated.

How to issue an order for employment using the T-1a form?


This form of order is convenient to use for individual entrepreneurs and founders who recruit workers using the team method.
At the beginning of the form it is given:

  • order details;
  • release date;
  • general information about the employer: name and code.

Next, information about employed persons is indicated in the form of a table. For each of them the following fields are filled in:

  • Personnel Number;
  • Full Name;
  • position indicating rank and division;
  • tariff rate, salary, with allowances;
  • basis for the order (employment contract);
  • date of return to work;
  • conditions of employment, period, probationary period.

Many people do not know whether a seal is placed on the employment order. The last column in the table is reserved for affixing the signature of each employee to familiarize him with the order. How to correctly fill out a unified order T-1

The order to hire an employee must exactly correspond to the content of the employment contract concluded between the citizen and the employing organization. Let's fill in the main fields of the T-1 form:

  1. The name of the employer is indicated in accordance with the title documents.
  2. The OKPO code (All-Russian Classifier of Enterprises and Organizations) is filled in according to the Rosstat letter received during registration, or an extract from the Unified State Register of Legal Entities (USRIP). You can get the code online by making a request on the website kodyrosstat.rf.
  3. A serial number is assigned to an order upon its registration.
  4. The date of preparation is the day the order is issued. The document cannot be dated earlier than the contract.
  5. Hiring date is the day on which the employee actually begins performing duties.
  6. The end date of the employment period is filled in if the employment contract is fixed-term, indicating either a specific date (if known) or an event upon the occurrence of which the employee’s work activity is terminated.
  7. A personnel number is assigned to an employee upon registration as a member of the enterprise staff.
  8. The employee's last name, first name and patronymic are filled in according to the model from the entries in his identity document.
  9. The structural unit of the employing company is indicated only when it is specified in the contract.
  10. The position (specialty or profession) must be present in the employer’s staffing table.
  11. Information about the nature of work activity (travelling, on the road, etc.) and conditions of employment (part-time, during the absence of a permanent employee, etc.) is filled out as in an employment contract.
  12. The salary or tariff rate is indicated in a fixed amount.
  13. The condition of testing upon hiring - if any.

The completed employment order form in form T-1a looks similar, only instead of one employee it will contain data on several persons at once. This form does not have any special instructions for filling out. But it is better to refuse to fill it out and fill out T-1 forms for each employee individually. This is due to the protection of personal data, which also includes information about wages, the indication of which is provided for in this form for each employee.

After the order is issued, new employees are introduced to its contents, so they will see information about other individuals listed in the group document.

Registration of an order for employment: templates and samples

The employer should pay special attention to the issue of correct execution of documents, since they are the object of close study by inspection services - the State Labor Inspectorate, employment and social protection services, in the event of labor disputes and claims.

An order for hiring an employee can be drawn up:

  • according to the model recommended by the State Statistics Committee in Resolution No. 1 of 01/05/04;
  • in any form provided for by the internal document flow of the enterprise.

The unified form of the employment order, approved by the State Statistics Committee, is a priority, since it most fully reflects all the main terms of the employment contract and it is this form that does not raise questions among the regulatory authorities. The form of the employment order, issued in any form, is developed at the enterprise. In this case, the employment order template requires approval from the legal department and the trade union committee.

What an order should look like, description of fields

To draw up an order for employment, forms prepared in advance must be in the personnel department of each enterprise. However, there are no clear instructions in the law regarding the form of the order. But it is recommended to use a unified form in form No. T-1 or T-1a. These forms were approved on January 5, 2004 by the State Committee for Statistics of Russia.

Most often this is a one-page document, printed in regular font on A4 sheet. It is not forbidden to draw up an order in writing, by hand. The main thing is the correct content and signatures of the parties. But, most companies prefer to use unified templates that are easy to download on the Internet. Generating orders on ready-made forms is much more convenient. Since the form is already ready, the HR officer only needs to fill in the necessary information.

The order must be prepared, signed and given to the employee for review within 3 days. The starting point will be the date from which the person began to fulfill his work obligations.

The fields of the order may contain information or marks. For example, a note is placed there indicating that the hired employee is familiar with the order.

It is not necessary to certify the order with a seal. This action is required only if you have to certify a copy.
